FieldSynX ("FieldSynX", "we", "us", or "our") respects your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information in connection with our field service management platform, including the web application for office users and the mobile application for field technicians (collectively, the "Service").

Scope

This Policy applies to information we process about account administrators, office staff, field technicians, and end‑customers to whom our users send communications. It applies to our websites (including fieldsynx.com) and the Service. It does not cover third‑party websites or services that are not under our control.

Information We Collect

• Account & Organization Data: name, email, company name, role, login credentials.
• Business Content: work orders, customer records, messaging templates, uploaded files/photos.
• Communications: emails/SMS and in‑app messages you send via the Service, and your communications with support.
• Payments: billing contact details and transaction metadata. We do not store raw card numbers; payments are tokenized and processed by our payments partners (e.g., Stripe; ACH processors).
• Device & Usage: IP address, device type, browser, app version, pages/screens viewed, feature usage, crash logs, diagnostic data.
• Location (Technicians): with your organization’s configuration and the device’s permissions, we may process GPS/location data to support dispatch, routing, and arrival estimates.
• From Others: your organization/administrator, integrated services (e.g., mapping, email/SMS, accounting, and payment providers), and publicly available sources as permitted by law.

How We Use Information

• Provide, operate, and improve the Service and user experience (web and mobile).
• Enable messaging automations (email/SMS) and technician dispatch/routing features.
• Process payments and manage subscriptions/seats.
• Monitor security, prevent abuse, and troubleshoot issues.
• Provide support and respond to inquiries—no unsolicited sales outreach.
• Analyze usage in de‑identified/aggregated form to improve features and performance.
• Comply with legal obligations and enforce our Terms of Service.

Legal Bases (EEA/UK)

Where applicable, we process personal data under the following legal bases: (a) performance of a contract (to provide the Service); (b) legitimate interests (e.g., security, product improvement); (c) consent (e.g., certain communications, location services); and (d) legal obligations. You may withdraw consent at any time where consent is the basis.

How We Share Information

• Service Providers/Sub‑processors: cloud hosting and infrastructure, email delivery (e.g., SendGrid), payment processing (e.g., Stripe/ACH), communications carriers (e.g., SMS/voice), and mapping/geolocation services. These providers process data on our behalf subject to appropriate safeguards.
• Integrations You Enable: we share data with third‑party tools you connect (e.g., accounting, communications, or mapping providers) per your configuration.
• Analytics & Improvements: we may use de‑identified/aggregated data for analytics, benchmarking, and to improve the Service.
• Legal & Safety: to comply with law, protect rights and safety, and respond to lawful requests.
• Business Transfers: in connection with a merger, acquisition, or similar event, subject to this Policy.

We do not sell personal information and do not share it for cross‑context behavioral advertising.

International Transfers

We may process and store information in countries other than your own. Where required, we use appropriate safeguards for cross‑border transfers (such as Standard Contractual Clauses) and protect data as described in this Policy.

Retention

We retain information as long as necessary to provide the Service, comply with legal obligations, resolve disputes, and enforce agreements. Upon subscription termination, we will delete or return Customer Data within 30 days of a written request, except where retention is required by law or resides in standard backups that are purged on their normal cycle.

We employ commercially reasonable technical and organizational measures to safeguard information. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.

Your Privacy Rights

Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing, and to data portability. You may also withdraw consent where processing is based on consent.

• Canada: PIPEDA rights including access and correction.
• California: CPRA rights to know, delete, correct, and to opt‑out of sale/share (we do not sell or share for cross‑context behavioral advertising), and to limit use of sensitive personal information.

Communications Preferences

We send transactional and service‑related messages (e.g., account, security, billing, and operational notices). You can manage certain notifications in the Service or by contacting us. We do not engage in unsolicited sales outreach.
